Well thought out and documented back up procedures can mean the difference between having a few hours of downtime and losing all of your data. HAIRLINKSQL’s cloud based online booking system has been developed to operate with live integration to the HAIRLINKSQL in-clinic Diary system. A set of smart patient data-aware survey questions can be configured with a tree-structure funnel to get information similar to what a competent staff member should always ask during a live phone or in-person conversation with the client. This is certainly the way of the future. This is what clients want today – total freedom to search for available appointment times online, and not be put on hold, let alone get a “clinic closed” message when it is a more convenient time for them, such as at night.

  Tips 'N' Tricks  
TIP: Client No Shows

A new feature in Version 4.5 is No Show Tracking. 'No-shows' or missed appointments result in under-utilized clinic capacity and a reduction in productivity. When individuals who hold appointments slots do not call and cancel, or give any sign to clinic personnel that they will not be honoring their appointment there is no chance to schedule another paying patient into their slot. This ultimatley results in the clinic losing money as the spot cannot be filled by a paying customer. Clients that miss an appointment will now be flagged as a no show client on their client record. Clients flagged as no show will appear with an exclaimation mark icon when making an appointment, on their client record as well as on the diary until the flag is cleared, this is useful to let you know when a client didn't come for their appointment last time. Appointments that are cancelled won't cause a no show flag, only when appointments are left in the default state "Due" in the diary.

No shows can be cleared from the client record by going to Actions | Clear No-Show.

If you don't want to see client no shows, this feature can be disabled entirely by going to Options | Setup | Diary and unticking "Use No Shows".

A No shows report is also available under Reports -> Report\Lists -> Client -> No shows. This report shows clients who have failed to show, the number of confirmed and unconfirmed appointments, number of no shows, total appointments and the percentage chance they will not show.

If you are receiving lots of no-shows it may be an indication to review your Appointment Confirmation procedures. CFL reccommends using the SMS appointment confirmation service to send SMS confirmations to clients 1 or 2 days in advance. Clients can then reply to these messages which will automatically confirm the appointment and turn it purple if the reply is yes. Replies that do not begin with yes will turn the appointment orange to indicate to staff that the appointment reply needs to be checked. Client records can also be configured to set whether the client wants SMS appointments confirmation as well.
